Dear Plantation Point Neighbors,
Please review the following information regarding our 2015 PPCA annual meeting. This letter will serve as the official notice of our annual meeting which will be held at the Amelia Island Club on Amelia Island Plantation on Sunday, November 15, 2015 beginning at 5pm. The meeting will include a brief business agenda to include annual updates and director reports, voting on three (3) 2 year Director positions and any new business that needs to be discussed. Our meeting will be followed by a social and dinner beginning a 6:00pm. A portion of your association assessment is funding the dinner. The cost of the dinner is $10 per person with a maximum of 2 attendees per lot. If anyone else would like to join the dinner event, the cost would be $23.00 per person.
In order to ensure a successful and meaningful annual meeting, we need attendance and/or proxies from at least 51% (36) of our voting lot/home owners. Please RSVP for the meeting with your dinner payment or kindly complete the attached proxy if you are unable to attend by November 8, 2015. It is your decision if you wish to provide your proxy vote to another member. The proxies can be sent by any means such as email or fax (904) 339-9707. All proxies, RSVP’s and payments should be sent to Patti Wright email patti1276@bellsouth.net, home address 1264 Harrison Point TraiI. Voting proxies will not be accepted on the day of the meeting.
The PPCA board is comprised of 7 director positions with alternating 2 year terms. This year we have 3 positions open for election. The 3 current board members whose positions will require re-election are Patty Wright, Inger Jahn and Scott Tinman. Scott has advised that he is not seeking reelection. If anyone would like to serve on the board, we will need to know by Sunday November 8th in order to have ballots printed for the annual meeting. We will accept nominations from the floor and will allow for ‘write in’ candidates if nominations are received during the annual meeting. Candidates seeking to serve may submit a biographical letter to the board and all candidate letters will be distributed to the members prior to the meeting. This process should help speed up the voting process at the meeting. One property owner from each household is permitted to speak at the annual meeting. Please advise us in advance so your name can be placed on the agenda. There will be a time limit of no more than 3 minutes for those electing to speak.
The board will have approved our 2016 budget by the annual meeting. The annual assessment will not change from last year. A full report on the association’s finances will be provided at the annual meeting.
We have much to be thankful for as a neighborhood. Please make plans to attend your annual meeting and join us as we reunite with old friends and welcome our new neighbors.

Directions to the Amelia Island Club
Enter main gate of OMNI Amelia Island Plantation. All attendees will be on the guest list at the security hut.
(Please allow for extra time as the security check point can get backed up)
Proceed straight through security gate and at first T intersection, veer left onto Beachwood Rd.
Approximately ½ mile down on your right is the entrance to Ocean Club Place (if you come to the golf course on your right and left, you just missed Ocean Club Place – turn around.
Proceed around the ‘round-a-bout’ and the 2nd drive is the
Amelia Island Club.
Park and enter the club under the portico and follow the signs for the Plantation Point Community Association Annual meeting.
